Google Calendar & Meet: Setup & Sync Guide

Proxiya connects natively with Google Calendar to check live availability in real time, block busy slots automatically, and create Google Meet video conferencing links whenever a client books.

Part of Proxiya’s Native Integrations Ecosystem: Google Calendar, Microsoft 365, Zoom & Stripe.

1. How to Connect Google Calendar to Proxiya

  1. Sign in to Proxiya: Head to proxiya.com/dashboard (or create a free account at proxiya.com/signup).
  2. Navigate to Integrations: Click Integrations in the left sidebar.
  3. Select Google Calendar: In the Calendar & Conferencing section, find Google Calendar & Meet and click Connect.
  4. Grant OAuth Permissions: You will be securely redirected to Google’s standard OAuth 2.0 consent screen. Select your Google account and grant calendar permissions so Proxiya can check free/busy slots and create events.
  5. Sync Complete: Once authorized, you are returned to Proxiya where Google Calendar immediately marks as Connected.

2. How Google Calendar & Google Meet Work

  • Real-Time FreeBusy Conflict Checking: Before any invitee sees open slots on your public booking page, Proxiya queries Google Calendar FreeBusy in real time. If you add an appointment or personal block on Google Calendar, that time instantly disappears from Proxiya.
  • Automated Google Meet Video Links: When editing an Event Type, set the Location to Google Meet. When an invitee books, Proxiya generates a unique Google Meet link and attaches it directly to the calendar invitation.
  • Rescheduling & Cancellations: If either party reschedules or cancels via Proxiya, the Google Calendar event and Google Meet room are updated or removed automatically.

3. How to Disconnect Google Calendar

You can disconnect Google Calendar at any time. When disconnected, Proxiya ceases all calendar checks and deletes all stored OAuth tokens:

  1. Go to Integrations in your Proxiya dashboard.
  2. Click the Disconnect button on the Google Calendar card.
  3. Confirm the disconnection prompt. Proxiya immediately purges access tokens from its database.
  4. To fully revoke Google app permissions from Google's side, visit your Google Account Permissions page, select Proxiya, and click Remove Access.

4. Data Permissions, Privacy & Security

Proxiya adheres to Google API Services User Data Policy, including Limited Use requirements:

  • Minimal Scopes: Proxiya requests only calendar.events and calendar.readonly to read busy intervals and create confirmed bookings.
  • No Calendar Content Harvesting: Proxiya never stores, reads, analyzes, or shares the subject lines or private contents of your non-Proxiya calendar events.
  • Encrypted in Transit & at Rest: All OAuth tokens and calendar communications use TLS 1.3 encryption with AES-256 encrypted credential storage.

5. Troubleshooting & Support

If you encounter any issues connecting Google Calendar or generating Meet links:

  • • Google Workspace Admin restriction: If using a corporate Google Workspace account, your IT admin may require pre-approving third-party apps in Google Admin Console.
  • • Expired authorization: If your Google password changed, disconnect and reconnect Google Calendar in Proxiya to refresh OAuth credentials.
  • • Support Contact: Email us at support@proxiya.com or visit our Contact Page.
